Create an Event Terms

1. Acceptance of the Create an Event Terms

By creating an event on eventKB, you agree to comply with the following terms, in addition to our general Terms of Use and Privacy Policy. These terms define how events are created, managed, and maintained within the platform.

2. Event Start and Expiry Policy

When a user creates an event, the event must be started within 3 days. Starting an event means activating it by completing payment, which triggers sending of updates, reminders, and invitations as per the selected service option.

Events that are not started within 3 days will be automatically deleted, including all data associated with the event (entries, committees, scanners, and any other uploaded details).

3. Data Retention and Event Conversion

All event-related data (entries, scanners, and event committee information) will be retained for 30 days after the event is marked as completed. After this period, the data will be permanently deleted.

Events created under the Contribution Management service option may be converted into an Invitation Management event using the same data within this 30-day period. Conversion in the reverse direction (Invitation Management to Contribution Management) is not allowed.

4. Payment, Activation, and Refund Policy

Starting an event requires full payment. Payment enables your entries to start receiving updates, reminders, and invitations according to the selected service option. Once an event is started:

  • It cannot be stopped or paused.
  • No refunds will be issued.
  • Payments are processed through the platform secure interface.
  • Payment methods include mobile wallets and debit/credit cards, depending on the country of the event and the event creator.

5. Communications and Notifications

Notifications and updates for entries are primarily sent via WhatsApp or other applicable messaging services. Some updates, especially for Scanners and Event Committee members, are delivered via email free of charge.

All communications must comply with applicable laws, and event creators are responsible for obtaining proper consent from participants before including their contact details in an event.

6. User Responsibilities

  • Ensuring events are started within the required timeframe.
  • Providing accurate and up-to-date event details.
  • Obtaining consent from participants before adding them to an event.
  • Understanding that all payments are final and non-refundable once the event is started.
  • Managing your event lifecycle, including timely conversion if you intend to switch from Contribution to Invitation Management.

7. Event Scanners

Event creators may link scanners to their events for scanning QR codes at the event entrance. Linking scanners is only available if the event is created under the Invitation Management service option and has at least one entry already added.

The maximum number of scanners that can be linked to an event is determined by the total number of entries loaded or added to that event.

8. Event Committee Members

Event creators may add committee members to their events for management and coordination purposes. This feature is only available if the event is under the Gold Event Plan and has at least one entry already added.

The number of committee members that can be added to an event is directly proportional to the number of entries loaded or added to that event.

9. Features Management & Monitoring

These Terms are monitored by eventKB Website Team. All services and features provided under this platform are designed, developed, and managed by the entity that operates the eventkb website and is legally approved by the relevant Officer of Law. Any disputes arising under these terms shall be resolved exclusively in the courts of the United Republic of Tanzania.
